Deposits are non-refundable and non-transferable.

BOOKING AND PAYMENTS

 

  1. Your tour will be confirmed after receipt of a non-refundable deposit. Deposits are required at the time of booking to hold seats. We reserve the right to refuse a booking without giving any reason and shall in that event return any deposit received. If not received within 7 days of booking, the reservation will automatically be cancelled. 
  2. A cooling off period of 7 days applies to all bookings after receipt of deposit. After this 7 day period all deposits are non-refundable and non-transferrable.
  3. Final payment for your tour reservation will be due prior to departure no later than as detailed in the Booking Summary above. Payment in full will be required at time of booking for reservations made later than the final payment due date prior to the tour departure date. 
  4. Aurora Coach Tours reserves the right to cancel the reservation and impose cancellation charges if any payment is not received as detailed within the Booking Summary and Cancellation table. 
  5. Credit/Debit Card Payments: Aurora Coach Tours should be advised of your credit card number when making your reservation directly with us. For security purposes, we are required to collect the guest’s credit card billing address, card expiration date and the customer verification code every time a payment is applied. A fee of 1.7% will be applied at the time of payment when paying by credit card. No credit card fee is applied to deposits payments made with a credit or debit card
  6. SPECIAL REQUIREMENTS Passengers must notify us of any special requirements (for example diet) at the time the booking is made. We will advise all third parties such as hotels and attractions of these requirements and will endeavour to ensure they are met. However, we cannot guarantee that all special requirements will be met in all instances.

 

BOOKING CHANGES

Name Changes: Bookings with Aurora Coach Tours are non transferrable. Aurora Coach Tours does not charge for name corrections, however where third party costs are incurred these will be passed on to the guest. Not all airlines allow name name corrections and a new airfare may need to be purchased which will be passed onto the guest.

Other Booking Changes: Aurora Coach Tours does not charge for minor booking changes however where third party costs are incurred these will be passed on to the guest. Costs and charges may increase the closer to the departure date that changes are made. We will try to make your requested change but it may on occasion not be possible.

A change of tour date or itinerary after final payment is due will be treated as a cancellation. 

 

TRAVEL INSURANCE

Travel insurance is highly recommended for all guests covering all applicable dates of travel with Aurora Coach Tours. This insurance should cover; tour interruption, personal injury, medical expenses, evacuation and repatriation cover including during pandemic events. The choice of insurer is yours.

Aurora Coach Tours cannot be held responsible for your failure to obtain insurance which is appropriate and we recommend you purchase your insurance at or soon after booking your tour. Aurora Coach Tours will not be held liable for any costs incurred by the guest resulting from their failure to obtain adequate travel insurance.

 

CANCELLATIONS AND REFUNDS

 

CANCELLATION BY TRAVELLER

Travel arrangements for any member of the party may be cancelled at any time by the person who made the booking.

If notice of cancellation is received by Aurora Coach Tours before final payment is due (see Cancellation Policy above), the deposit will be retained. If cancellation is made after final payment is due cancellation fees will apply (see Cancellation Policy above). 

If a person in a party cancels and there is a room change caused by this cancellation (such as a Twin to Single, or Triple to Twin), charges for the new room type will be the responsibility of the remaining party.

If a guest fails to join the tour on the day of departure, cancellation fees will be 100% (unless the guest notifies us of the delay and joins the tour later at their own expense).

Cancellation fees as per the Cancellation Policy above apply to additional accommodation and/or chargeable transfers prior to and after the tour, itinerary extensions or activities reserved through Aurora Coach Tours.

Cancellation fees and charges will include any amounts that we have paid or have contractually committed to pay to third parties to deliver your travel arrangements which we cannot reasonably recover (for example payments made or due to airlines and hotels). Any payments we have made to third parties will only be refunded to you once we have deducted the above cancellation fees and charges and once we have actually recovered the amounts from the third parties.

If the reason for your cancellation is covered under your insurance, you may be able to reclaim these charges from your insurer. You are responsible to make the claim to your insurer.

CANCELLATION BY AURORA COACH TOURS

Aurora Coach Tours reserves the right, to modify or cancel any tour (definite or not), accommodation, in-destination activity or arrangement at any time.

Cancellation due to Failure to Pay

If full payment is not received by the due date, Aurora Coach Tours has the right to cancel your reservation and no refund will be made . Aurora Coach Tours will not be responsible for lost reservations.

Aurora Coach Tours is not responsible for other travel arrangements that you or your party have made outside Aurora Coach Tours and which are affected by our cancellations.

 

Early Return, Illness or Absence

Early return expenses are the guest’s responsibility. There is no refund for absence or early departure from a tour, including but not limited to missed hotels, transfers, meals or sightseeing cruises or optional extensions. Aurora Coach Tours urges you to purchase travel insurance which covers such circumstances. Aurora Coach Tours makes no representation or guarantees concerning reimbursement, scope of coverage, or other aspects of any travel insurance policy or claim.

 

RESPONSIBILITY & LIABILITY 

Aurora Coach Tours accepts no responsibility or liability for any injury, loss, damage, change of itinerary or inconvenience caused either directly or indirectly as a result of events which are outside of our control, including but not limited to: fires, floods, acts of God, unusually severe weather, riot, war, invasion, medical outbreak or contamination of any kind, material change in legislation or government directions, industrial action or commercial flight disruptions. 

Passengers are advised that the service provided by Aurora Coach Tours is for the booking and packaging of goods and services provided by other operators such as hotels, motels, attractions, cruise lines, airlines and other transportation companies. Aurora Coach Tours will not be liable for any loss, damage, omission or act of negligence or otherwise committed by these operators, their assignees or agents. 

Aurora Coach Tours is unable to guarantee exact arrival or departure times and is not liable for any failure to make connections with any other service or guarantee the operation of any particular service. 

Passengers accept that we may need to alter or amend itineraries, excursions, accommodation or sightseeing arrangements from those published, with little or no notice. This may be due to road conditions, weather, cultural considerations, safety factors and other operational considerations or government regulations or directions. Such decisions will be made in the best interests of the passenger’s comfort and safety, or where required by law. In these circumstances Aurora Coach Tours will endeavour to make suitable alternative arrangements.
